Employee Meal Policy (in-town meals)

Davidson College does not provide reimbursement for in-town meals (within 25 miles of campus) involving only Davidson College employees, including meals at which employees discuss college business, unless such meals are pre-approved by the applicable Principal Executive Staff member and are related to official college business meetings, retreats or planning sessions (e.g. retreats for members of the Principal Executive Staff, and divisions or departments of the college).
The college will generally provide reimbursement for in town employee meals only if such employee is meeting about college business with official college guests, including:

• Current or prospective students
• Current or prospective donors
• Members of the Board of Trustees or Board of Visitors
• Candidates to fill faculty and staff positions on campus
• Visiting speakers, artists, lecturers, etc.
• Other guests whose visit provides a clear benefit to the college

Also, the college will generally reimburse employees for the following types of meals:

• Professional development seminars that do not require overnight travel
• A meal at a local or regional airport at the beginning of a trip for college business
• Meals during extraordinary circumstances (i.e. pizza for dinner during year-end annual fund calling and/or admission processing)

For any meals that do not meet the above criteria, the Business Services Office will notify the employee and department head that reimbursement from the employee is required.
