Web and Video Conferencing Services

In our continuing efforts to enrich support for sustainable teaching, learning, research and administration, we are pleased to announce the availability of web and video conferencing services. Where appropriate, we encourage the use of these services to eliminate or reduce travel. Please review the descriptions below to determine which service best suits your needs. Instructions for requesting the services are included.

Web Conferencing

Web conferencing is an online meeting/collaboration space that provides web quality video, audio, chat, digital "whiteboard", web browser, and document sharing for up to 10 participants. The web space is multipoint, meaning participants can be anywhere in the world and only need access to a computer that has a good broadband Internet connection. Potential uses of web conferencing include cross-institutional classroom and project collaboration or virtual meetings with colleagues on other campuses. To use the audio or video features, participants will need a smiple web camera and a headset (or microphone and speakers). ITS has web cameras, headsets and a digital writing tablet for loan. We will also provide the associated training. Please request the loaner equipment when making reservations for web conferencing.

How do I reserve the virtual meeting room and equipment?

To prevent conflicts and interruptions during web meetings, please use the college's online reservation system (called EMS). Choose a "Service Only Request" and complete the required fields. If you need assistance using EMS, please review these frequently asked questions.

Video Conferencing

A Tandberg desktop mobile unit for higher quality video conferencing is now available. The unit is designed for a single person but the lens is wide enough to accommodate up to four people seated together. Collaboration is limited to video, audio and computer screen presentation. The unit is not multipoint, meaning it can only communicate with a single location anywhere in the world. Participants on the other end must have a compatible device in order to communicate. Using the unit will require a technician on bothends to set up and test the connection. ITS will provide the technician for the Davidson College end. Potential uses of video conferencing include small meetings, candidate interviews and oral examinations.

How do I reserve the video conferencing service?

There are three rooms on campus with the necessary network ports for a successful video conference. They are:

  • Alvarez 302
  • Alvarez 313
  • President's Conference Room

To request the service and support technician, please use the college's online reservation system (called EMS). Choose a "Room Request" and complete the required fields for one of these locations. The video conferencing unit can be selected as a service. ITS will be notified and a technician will be scheduled to assist. Because of the time needed to test with the technician on the other end, we request five days advance notice. In order to set up, orient the participants and take down the equipment, please reserve the space for 30 minutes before and after the actual start and end time for the event. If you need assistance using EMS, please review these frequently asked questions.

Please do not hesitate to contact our Help Desk with questions.
