UM (Unified Messaging): Managing your stored voice mail with rules

Q: Since the message light is unreliable, what can I do to make sure I do not miss a message?

Q: How can I separate my voice mail from my email messages and still have them available via the telephone?

A: Since your stored voice mail message is really an email message with a message attachment,  you can set up an email rule.  The stored voice messages need to remain in the Inbox or Saved folder in order to be accessed from the telephone interface.

To set up a rule or alert in Outlook:

  1. Go to the Tools menu.
  2. Select Rules Wizard or Rules and Alerts.
  3. Follow the instruction. We suggest this rule:

"Apply this rule after the message arrives with Voice Mail in the subject display Voice Mail in the New Item Alert Window."

When a voice message is sent to your Outlook mailbox a pop-up message with the call will appear.  If you are away from the office, you can look for the Alert Window to see if any messages arrived while you were out.
